Pinarc Privacy Policy: Your privacy is respected

Pinarc is open and up-front about how your personal information is collected, used and managed.

Pinarc is bound by the National Privacy Principles in the Commonwealth Privacy Act. A copy of the National Privacy Principles can be found at:

Privacy for Service Users

Pinarc staff may need to collect personal information about you, your family, your health status and sometimes your financial situation. This information will be collected during assessments, case reviews and when linking or referring you to other services.

This information will be collected through:

  • application forms
  • face-to-face meetings
  • telephone calls
  • e-mails
  • reports
  • referrals from other people

By consenting to receiving a service/s from Pinarc, you are consenting to:

  1. Your personal information (e.g. name, address, telephone) being stored on an electronic file which is password protected.
  2. Your family name being used in Pinarc booking systems.

How we use your Personal Information

The main reason for collecting your details is to provide a service to you or a member of your family. Pinarc collects your personal information to identify and support your needs, and match you to a service.

Your information is also used to:

  • acquire services or funds from other agencies or professionals
  • assess your family’s needs or aspirations
  • provide data and statistics to the people who fund us in a way that does not identify you

Pinarc will always ask for your formal consent to use your information in these ways at commencement of service.

Who might we Disclose this to?

Only those people, agencies or services you have given consent to. Exceptions to this are only made in the interest of personal or public health and safety (e.g. Child Protection Services).

What about Sensitive Information?

This will only be used or disclosed for the purpose it was collected for and you agreed to, except in the cases listed above.

Security Systems include:
  • Using 128-bit SSL (Secure Sockets Layer) encryption when collecting and processing credit card payments
  • All filing cabinets are locked when not in use
  • Shredding of sensitive information prior to recycling/destruction
  • Buying in confidential shredding services for larger jobs
  • All archives stored in locked storage
  • Password protection for computer files
  • Access to files is limited to the personnel with consent
  • File audits and security audits are held regularly

Pinarc strives to ensure the personal information it holds is accurate, complete and up to date. To update your information, please speak to the Pinarc worker you have most contact with.

Freedom of Information

You have the right to access any personal information Pinarc holds and to advise Pinarc of any perceived inaccuracy. Please make a written request to the Privacy Officer, PO Box 1841, Bakery Hill business Centre VIC 3354.
